How to Collect Speaker Bios and Headshots Without Chasing Anyone

    Last updated October 2026.

Send every speaker a portal link. They write their bio, upload their headshot and socials, and file their deck themselves. You review, approve, and the info flows into their cards, the walls and the schedule automatically. Every version is kept.

The speaker chase, "can you resend your bio in the right format?", is the most avoidable job on an event team. ConfBuilder's speaker portals hand the work back to the person who owns the data.

    1. Send the portal link

Each speaker on your list gets a passwordless sign-in link, by email, one click and they are in their own portal. Speakers who already have an account use the same login.

    2. Speakers fill in their own profiles

Inside the portal they enter the bio, headshot, role and company, links and any other questions on your intake form. What they see is their record, nothing else, so there is no risk of them wandering into your other events or data.

    3. They upload their decks themselves

Decks go straight into the portal with versioning: every version kept, nothing overwritten in silence. When the final deck arrives the night before, it is right there, linked to their session.

    4. You approve

Submissions set the speaker's status to submitted. You review and approve, and approved info flows everywhere at once: the promo card template's fields, the Speaker Wall on your website, the schedule and the app.

    5. Handle the day-before change calmly

A title changes on the Thursday. No re-export, no new wall image: update the profile once, approve, and the card, wall and schedule all read the new title. One edit, one place, live everywhere.
