How to Run a Call for Speakers
Last updated October 2026.
A call for speakers usually runs on a form tool, a spreadsheet and a lot of email. The submissions land in one place, but the accepted speakers need rebuilding as profiles somewhere else. ConfBuilder closes that gap: an accepted application becomes a speaker on the same platform that publishes your walls and schedule.
1. Set up the application form
In the Speaker module, open the call for speakers form and shape it to your event: what you ask, what is required, word limits on abstracts. Keep it to the questions you will actually act on. The form builder saves you from paying for a separate form tool.
2. Share the link
Send the application link by email, socials or your website. Applicants fill it in on their own time, no account needed to apply.
3. Review applications in one queue
Every application lands in the Actions queue with its status visible: who applied, who you have reviewed, who is waiting on you. No inbox archaeology, no version of the spreadsheet that is two days old.
4. Accept and they become speakers
Accept an application and the person moves into your speaker list with a proper record. Their talk and abstract come with them.
5. Let accepted speakers self-serve
Send each accepted speaker their portal link: they write the final bio, upload a headshot and socials, and submit. Submissions set the share-page workflow in motion and their promo card is already waiting, rendered from the template you designed.
6. Publish as speakers land
Approve profiles and cards as they arrive and the Speaker Wall and schedule fill up on your website. Early speakers get published early, which is free marketing while other speakers are still deciding.
